Associate Sleep Manager

The Position: PAR seeks a dynamic full-time Associate Sleep Manager for our Sleep Departments. The position will work with the Sleep Manager managing the day-to-day activities and operations of PAR's five sleep clinics, and assist with the daily supervision of Medical Assistants, Patient Care Representatives, and Day, Night, PRN RPSGT employees. Clinics will be divided but coverage of all will be indicated as needed.

Work Hours: The work hours are 7:30 am to 4 pm. Will require on-call 7 days a week on a rotating shift. This is a nonexempt position.

Job Responsibilities: 

  • Supervise daily workflow and make changes where needed to ensure clinic runs efficiently.
  • Monitor clinic processes and policies for compliance, communicate changes to employees, and make suggestions for improvement to Sleep Manager.
  • Handle complaints from patients, referring physicians, and others outside of PAR and escalate to Sleep Manager.
  • Provide guidance, direction, and support to clinic employees on routine and non-routine issues.
  • Recruiting, interviewing, and hiring new clinic employees.
  • Facilitate new employee training.
  • Coordinating and monitoring employee work schedules, lunch times, break times, PTP requests etc. to ensure clinic is adequately staffed at 5 locations.
  • Monitor staff to0do lists and queues to ensure efficiency and productivity.
  • Coordinate student externships with HR.
  • Ordering supplies and inventory for 5 locations.
  • Trouble shoot computer, phone and other technology problems that may occur.
  • Attending administration and other meetings.
  • Complete special projects such as ensuring all patients are scheduled for their appropriate sleep study and/or follow up visit.
  • Provide coverage for MA, front desk, or Day/night sleep techs if we are short staffed,
  • Adhere to Pulmonary Associates of Richmond standards of excellent customer service to patients, caregivers, providers, coworkers, and those outside of Pulmonary Associates of Richmond at all times.
  • Adhere to HIPAA policies and procedures to protect patient privacy and security.
  • Perform other duties as assigned by provider, supervisor, or member of administration.
  • Take nighttime weekly call on a rotating schedule with Sleep Manager and team leads.

Qualifications: High school diploma or equivalent. Undergraduate or master's degree in related field preferred. 2+ years of experience in a healthcare setting preferable. One+ years of management/leading experience in healthcare preferred. Two+ years of experience in a Sleep center preferred. Allscripts PM and EMR experience highly desired. Certifications: RPSGT Credential preferred.

Knowledge: Knowledge of medical office protocols and procedures. Knowledge of Sleep Medicine. Knowledge of medical insurances and reimbursement practices. Knowledge of personnel management principles. Knowledge of Pulmonary Associates of Richmond employment policies.

Skills: Skill in learning new computer software and web-based applications. Skill in delegating and supervising workflow. Skill in conflict resolution and de-escalating tense situations.

Abilities: Ability to coach, counsel, and motivate employees. Ability to work under deadlines and stress. Ability to recognize and respond appropriately to urgent situations. Ability to effectively communicate verbally on the phone and in writing in email and EMR messages. Ability to adapt to changes in policies, processes, and systems. Ability to use good judgement. Ability to identify and solve problems and make suggestions for process improvements. Ability to establish and maintain effective working relationships with employees, providers, and administration.
